Vendor Registration Policy

A prospective new vendor is considered for registration under following circumstances:
Introduction of new product, equipment, material and services.
In case where vendor approaches the Company directly, and it helps in broadening the vendor base.
New Company on account of merger/ de-merger or change in the constitution / type of business. This includes additional products dealt by the company.
In case a number of firms under a product or group are reduced due to de-registration then a minimum vendor base must be ensured by introduction of new firms proportionately.
STEP-I
The first step would involve a formal request from vendor and issue of a Vendor Registration Questionnaire (VRQ) form no. 06/QSP/13P. The VRQ form shall be issued to the prospective vendors in case Vendor base for category of items requested by vendor is less than 10 vendors or as stipulated from time to time.
STEP-II
The vendor form along with the supporting documents is forwarded to a committee. The vendor selection committee carefully scrutinizes the adequacy of the statements, inclusive of Bank solvency certificate, furnished by the vendor and any ambiguity, clarification/ information required is obtained from the vendor.
The capacity and capability of each vendor shall be determined by assigning certain weightages for following factors:
Infrastructure
Proximity to GSL
Technical Capabilities
Whether ISO company/ registered with other PSU, DQA(WP), DQA(N)
Availability of skilled man power
QA system in vogue
Financial Capacity
STEP-III
After recommendation of the committee for registration of the firm, the recommended list is sent for CMD’s approval. After final approval the registration confirmation letter is issued to the vendors intimating the registration no.
